Dwell / Approval reminders

Stop chasing quote approvals. Dwell sends the reminders.

A repair quote nobody answers is a unit sitting on your shelf. Dwell sends automatic reminders to your customer on a schedule you set, on weekdays only, and stops the moment they approve or query. You stop keeping a list of who to chase, and every reminder lands on the record.

01 / The schedule

Day 2, day 5, then the second contact on day 10.

That is the default for every new shop. Days are calendar days from the day the quote went out, counted on your shop's clock. Each reminder goes out at your send hour, 09:00 unless you change it.

Day 2
A reminder to the contact the quote was sent to, with the link to the quote. The subject line says how long it has been awaiting their approval.
Day 5
A second reminder to the same contact. It repeats the price and the turnaround, and says the unit stays on hold until your shop hears back.
Day 10
The second contact named on the quote gets an escalation saying who the quote went to and when. They can approve or query it themselves. If the quote has no second contact, this step goes to the first contact again.
Your own schedule
Change the days and who each step goes to, up to six steps between day 1 and day 60. Changes apply to quotes sent from then on.

02 / Weekends

Never on a Saturday or Sunday.

A step that lands on a weekend moves to Monday. The record lists it as that step, sent on the Monday, so the schedule reads as it ran. Below, one example quote sent on a Monday.

    The day-5 reminder fell on a Saturday. It went out on Monday, day 7, and the record lists it as the day-5 reminder.

  2. Day 10Escalated

    The second contact got the reminder on Thursday. The customer approved on Friday, day 11, and the reminders stopped.

Day 0 sent. Day 1 viewed. Day 2 reminder. Day 5 fell on a Saturday, so it was held. Day 7 reminder. Day 10 escalated. Day 11 approved.

03 / When it stops

Reminders stop when the customer acts.

Dwell only chases while the unit is waiting on the customer. The quote page says it in one line: reminders stop on approval or query, and pause while the unit is not waiting on the customer.

Approved
Every pending reminder is cancelled the moment they approve. Your shop gets an email saying who approved and how many days the quote waited.
Queried
Reminders pause until you reply. When you reply, you choose whether they start again from that day, or leave them off if the customer said they are not proceeding.
Waiting on a supplier or on you
No reminders go out while the unit is waiting on someone else. When it is back with the customer, the schedule starts again from that day.
Shipped or withdrawn
Pending reminders are cancelled when the unit ships or you withdraw the quote.
A bounced email
If the last email to that contact bounced, the reminder is not sent and the skip is recorded. The dashboard flags it so you can fix the contact.

04 / The record

Every reminder is on the record.

Each send goes onto the quote's timeline with the time and the contact it went to, and its delivery confirmation is recorded. Views, queries and the approval sit on the same timeline. The dashboard lists every unit in the shop, longest approval wait first, and turns a quote red past your threshold: 7 days by default.

Who do the reminders come from?
From your shop's name, via Dwell. Replies to a reminder go to the person in your shop who created the quote.
Can I change the schedule?
Yes. In settings you choose the days, who each step goes to and the hour reminders go out, with up to six steps. Changes apply to quotes sent from then on.
Do reminders go out at weekends?
No. A step that lands on a Saturday or Sunday moves to Monday. Weekends are counted in your shop's timezone, which you set.
What if my customer never clicks?
You still get the reminders and the trail. Dwell reminds the contact on your schedule, escalates to the second contact, and records every send and delivery confirmation. The record shows what was sent, to whom, when, and that it went unanswered.
